On this page you will find all the terms and conditions of participation, the conditions are valid from the moment the confirmatory deposit is paid to the promoter or organizer, in the form of cash or other means of payment.

TERMS and CONDITIONS OF PARTICIPATION

  1. OBJECT: These general contract conditions govern the sale of PARTICIPATION TICKETS for the cultural, educational and sporting event called AFRO LATIN VILLAGE, organized by DRUSTVO PRVI KORAK.
  2. SUBJECTS OF THE CONTRACT: DRUŠTVO PRVI KORAK who will hereinafter be named ORGANIZER with registered office Hrvatini 61, 6280 Ankaran Slovenia. PARTICIPANT is the person making the purchase and/or the person for whom a PARTICIPATION TITLE is purchased. The purchase can be made privately, through promoters, directly at the organization or electronically through the website www.afrolatinvillage.it and www.afrolatinvillage.com.
  3. CONTRACT: It is the agreement accepted and established between the PURCHASER/PARTICIPANT and the ORGANIZER, governed by these General Conditions of Contract and by applicable laws where applicable.
  4. PARTICIPATION TITLE: The Participation Title is strictly linked to the name with which registration is requested, in fact it is not necessarily linked to the person who purchases it by paying for it. In cases where the organiser, voluntarily or involuntarily, does not issue any PARTICIPATION TICKET, the payment receipt which must be of the same amount as the service requested and registered will be considered as a substitute. In order to guarantee the regular booking process, the participant has the right to request via email a guarantee that the booking was successful and that it corresponds to the TITLE REQUESTED. THE PARTICIPATION TITLE can also be issued in digital format through a simple email which legitimizes the holder access to the event spaces. The PARTICIPATION TITLE is nominal and non-transferable/assignable and is valid only if paid within the established terms of 3 days from the date of registration. The PARTICIPATION TITLE must always be accompanied by an identity document, a payment receipt and an email confirming registration. In cases where the payment phase does not correspond to the established rules (Payment within 3 days of registration) the organization reserves the right to apply any supplements or cancel its validity without any right to reimbursement and communication towards the applicant other than the single fee paid. The PARTICIPATION TITLE sold and associated with a name cannot be resold or transferred either for a fee or free of charge and cannot be the subject of intermediation unless authorized by the organisation. The participant exempts the organization from any responsibility for any purchase made by people external to the organization, including promoters even if authorized to sell, therefore it is the responsibility of the PARTICIPANT to ensure that the promoter has registered and paid the fees necessary for participation. Purchasing from trusted promoters, even if authorized, is always at the participant’s own risk. In cases where the fees are not received by the organizer, the participant may be forced to leave the location of the event. The same treatment may be applied to participants who use participation certificates that have been lost, stolen, duplicated or obtained in conflict with the regular participation authorizations and these general contract conditions. Drustvo Prvi Korak has the right, at the request of the Authorities responsible for the protection of public order and safety, to cancel an PARTICIPATION TICKET at any time for technical and/or organizational reasons. Where such problems arise without any fault on the part of the Customer, the same has the right, in the event of cancellation of the participation certificate, to reimbursement only of the cost of the Participation Certificate paid to Drustvo Pri Korak (to the exclusion of any other request).
  5. IDENTITY DOCUMENT: This is the document with which the participant, upon arrival, must demonstrate his identity corresponding to the PARTICIPATION TITLE, the same must contain an identifying photo and be valid.
  6. MARKETING: THE PARTICIPATION TITLE can be purchased through the sales channels operated by DRUSTVO PRVI KORAK.
  7. PROMOTERS: Through the PROMOTERS it is possible to receive discounts and promotions, or make a reservation or purchase under your own complete responsibility. The participant immediately accepts the condition, exempting the organizer from any liability relating to the fees paid to the  Promoters. The organization is responsible only for payments received directly into its own banking and payment means registered to the organization. The authorized PROMOTERS have the task of providing potential participants with the correct information to complete the purchase which can be made by bank transfer or credit card, made out to the organiser. It will be possible to make direct purchases from AUTHORIZED PROMOTERS only under your own responsibility. In cases where the PROMOTER does not pay the organizer the due fees, THE PARTICIPATION TITLE could be canceled with the consequent action of REMOVAL OF THE PARTICIPANT from the event premises. The same treatment may be applied to participants who use participation certificates that have been lost, stolen, duplicated or obtained in conflict with the regular participation authorizations and these general contract conditions.
  8. LIMITATION OF LIABILITY AND RIGHTS: Except in the case of willful misconduct or gross negligence, DRUŠTVO PRVI KORAK does not assume any responsibility for expenses and damages, direct and indirect, of any nature, suffered by the Customer in relation to the sale of SECURITIES PARTICIPATION. DRUŠTVO PRVI KORAK also reserves the right to withdraw, modify, suspend or interrupt any function or service provided by it in relation to the sale of PARTICIPATION TICKETS, where this is made necessary or appropriate for technical and/or organizational reasons.
  9. MANAGEMENT COSTS FOR REFUNDS AND CANCELLATIONS: All cases of refunds, without any exclusion, will be subject to the deduction of management costs which may vary from a minimum of €10 to a maximum of €55 based on the total value of the service booked.
  10. CANCELLATION POLICY: Attention, the policy is adopted regardless of the date or moment in which an PARTICIPATION TICKET or a SERVICE is requested and booked. 9.1) Cancellations received within 75 days of the event date will receive a refund equal to 50% of the amount paid. 9.2) Cancellations received within 60 days from the date of the event, a refund equal to 25% of the amount paid is expected. 9.3) Cancellations received within 45 days from the date of the event, a refund equal to 0% of the fee paid is expected. 9.4) Cancellations received after 45 days from the date of the event, a refund equal to 0% of the fee paid is expected, furthermore for cancellations received within 30 days of the event the participant is obliged to pay the full fee for the booked service. It is the organiser’s right to take into consideration any cancellation on a case-by-case basis and establish conditions different from those established in this contract.
  11. WAIVER: There will be no refund by the organizer, neither of the price of the PARTICIPATION TICKETS nor of any service commissions, in the event of the customer’s refusal to access the event. In the case of electronic sales, the right to withdraw pursuant to article 55 of the Consumer Code is excluded.
  12. NAME CHANGE: The names of PARTICIPANTS can be changed up to a maximum of 30 days before the start date of the booked event. The name change involves a supplement of €15 + possible price adjustment to the rate on the day of the PARTICIPATION TICKET request. In any case, the organization reserves the right to evaluate its feasibility and establish changes or improvements.
  13. RIGHT OF WITHDRAWAL: The right of withdrawal of 14 days applies provided that the  PARTICIPATION LICENSE  has been purchased and fully paid for at least 90 days before the date of the event. In different cases, the organization has the right to establish the conditions based on the proven motivations of the holder of the PARTICIPATION TITLE. Even if applied with adapted methods, in the case of electronic sales, the right to withdraw pursuant to article 55 of the Consumer Code is excluded.
  14. PROGRAM MODIFICATION: In the event that changes occur in the programming, in the timetable of the event or in the event that the performances of one or more artists are canceled without this resulting in the cancellation of the event as a whole, the bearer of the PARTICIPATION TICKET will not have right to any refund, neither partial nor full. The organization reserves the right to exchange and/or eliminate artists from the initial lineup without any consequences or penalties. This does not imply the customer’s right to cancel tickets or request changes and/or compensation. DRUŠTVO PRVI KORAK is not responsible for any cancellations of advertised artists.
  15. EVENT CANCELLATION WITHOUT REASON: In the event that the event is canceled without any reason. The Holder of the  PARTICIPATION TITLE  may request to be reimbursed according to the instructions that will be made known by the organization. Only the price of the PARTICIPATION TITLE will be refunded, minus all expenses necessary for the reimbursement. (The deduction can vary from €10 to €55 based on the value of the service booked). In the event that the organization avails itself of the right not to proceed with the reimbursement of the pre-sale right included in the price of the PARTICIPATION TITLE, the amount not refunded as it relates to this right will not exceed 12% of the total price of the ticket. PARTICIPATION TITLE. DRUŠTVO PRVI KORAK will carry out the reimbursement operations, to the extent of the times and methods established by the same. Unless otherwise indicated by the organizer, the shipping costs for sending the refund request will be borne by the Holder of the PARTICIPATION TICKET, if necessary. The organization is solely responsible for the reimbursement of the PARTICIPATION TITLE if paid in full to the organization, exempting itself from any other cost or expense incurred by the holder of the PARTICIPATION TITLE.
  16. EVENT CANCELLATION DUE TO FORCE MAJEURE: In the event of force majeure or, in any case, for reasons beyond the control of the organizer, the date and location of the event may be modified and transferred or eventually the  event may be suspended entirely. In the case of transfer of the date and possible location, the organization reserves the right to freeze the booking and the amount paid for up to a maximum of 366 days and if unused it will refund in the manner and conditions indicated in the refund request phase as per regulation. In any case, where a refund is expected, the organization is responsible only for the PARTICIPATION TITLE. In cases where an additional service is requested, such as a room in a hotel, the organization will be responsible for contacting the hotel and requesting a refund for the additional services on behalf of the participant. The organizer immediately considers himself exempt from any responsibility regarding the final decisions and cancellation conditions established by partners such as Hotels, Artists, Suppliers etc., referring to the general conditions established by each individual partner which will be made known to the participant under requests before to purchase any service or PARTICIPATION TITLE.
  17. CHANGE DATE EVENT  DUE TO FORCE MAJEURE: In the event of force majeure or, in any case, for reasons beyond the control of the Organizer, the date of the event may be changed or in some cases the event may be suspended entirely. Participants exempt the organizer from liability for any direct and indirect damages of any kind that the participant has suffered due to the cancellation or change of dates of the event, which they renounce as of now. The sum paid will be frozen and used for the next edition of the event which must take place within 120 days, the date on which the freezing expires and the sums paid must be returned upon request by the holder of the PARTICIPATION TICKET by requesting it at the links indicated by the organizer. For the most loyal people who request a VOUCHER and not a REFUND, the organizer will provide an additional benefit to the amount paid, the benefit will be established and indicated during the refund request.
  18. CONSENT TO THE PROCESSING OF COMMON NON-SENSITIVE PERSONAL DATA and PERSONAL IMAGE: The participant, for all legal purposes and regulations, and in particular pursuant to art.13 of Legislative Decree 196/2003, declares to have read the the foregoing information, provided by DRUŠTVO PRVI KORAK, and to give one’s free, conscious, informed, specific and unconditional consent to the processing of data carried out and to the communication of the data to the categories of subjects indicated above. Furthermore, he authorizes the use of his personal image in photographs or films taken during the event and social events. The photos and videos taken during the event will only be used for the promotion of the festival. Participants consent to the use and publication of their photos and videos without any compensation or claim. The organization is committed to publishing only non-offensive photos.
  19. REFUNDS: All refunds of fees paid will incur a cost for administrative expenses ranging from €10 to €55 based on the value of the case.
  20. WRISTBAND: During access to the premises used for the event, the organizer will replace the PARTICIPATION TITLE with an identifier such as a WRISTBAND. The same must be kept on the wrist for the entire duration of the event. The bracelet will serve to identify the person who has already been registered, without necessarily checking their identity for each access to the event premises. Thanks to the IDENTIFICATION BRACELET, the participant will be able to enter and exit the event premises by showing it to the control staff. The bracelet is waterproof and has a good consistency, which can only be canceled with a voluntary cut with scissors. In the event of loss of the IDENTIFICATION BRACELET, the participant may be forced by the organizer to leave the location of the event or to request payment of the value of the PARTICIPATION TICKET again. The same treatment may be applied to participants who use PARTICIPATION TICKETS and/or IDENTIFICATION BRACELETS that have been lost, stolen, duplicated or obtained in conflict with the regular participation authorizations and these general contract conditions. To avoid being removed from the event premises or having to pay its full value again, in the event of breakage of the IDENTIFICATION BRACELET, it is important to bring it back to the event registration point and have it replaced. To replace the IDENTIFICATION BRACELET it will be necessary to present an identity document, the payment receipt and an email certifying actual registration for the event (PARTICIPATION TITLE). The organizer will not replace the PARTICIPATION TICKET and/or IDENTIFICATION BRACELET in the event that it is lost by another person, lost, damaged, damaged or destroyed or if it has been stolen, cut or is even partially illegible.
  21. ENTRY POLICY: Respect the entry policy and wear the bracelet for the entire time of the event. Participants without bracelets will be escorted out of the event premises. The organizer, through its supervisory bodies, reserves the right to check the validity of each participant’s bracelet at any time and to accompany participants suspected of having abused the access rules to the event area outside the event premises.
  22. COVID-19 CONDITION: Access to the event will be possible only if the holder of the PARTICIPATION TITLE is in possession of the requirements required by the competent authorities and in compliance with the current anti-covid-19 regulations which are current at the time of the event such as the condition (Vaccinated and/or Tested)(PCT). The participants exempt the organizer from liability for any direct and indirect damages of any kind, which the participant has suffered due to the impossibility of accessing the event premises, for which they hereby renounce to ask for damages.
  23. GENERAL: Even if any of the rules set out in these general contract conditions are inapplicable, the others will continue to have full effect. The Contract is subject to Slovenian law. The Court of residence of the Drustvo Pri Korak organization in Koper, Slovenia, will be deemed competent to decide any and all disputes arising or in any case connected with the Contract and these General Conditions of Contract. These general contract conditions, the various rules indicated in the various phases of the electronic sales process, when applicable, and the warnings on any means of communication or on the PARTICIPATION TITLE constitute the entire contractual agreement between the Participant and Drustvo Pri Korak.
  24. PARTICIPATION FEES: The participation fees correspond to the cost of the chosen service and the fee paid by the participant. Participation fees are subject to variations, increases and discounts throughout the period preceding the event.
  25. PURCHASE PHASE: The purchase phase is the moment in which the potential participant checks the costs, conditions and terms of participation in the event, accepting the conditions in their entirety and confirming them upon payment of the participation fee.
  26. FREE AND DISCOUNTED TICKETS: The free or discounted tickets are nominal, non-transferable and non-resaleable. They must be authorized and registered through the digital systems on the event website or through a direct representative of the organization who certifies the actual confirmation of registration. Discounted tickets will not be validated if registered within 24 hours of the draw or issue of the discount. All ENTRY TICKETS won through games or prizes cannot be sold or transferred to another person. The name of the winner will be marked in the event list within 24 hours of delivery of the prize or the game will be completed no later than the day following the draw. All names received late the following day will not be validated. Therefore only the winner can collect his PARTICIPATION TITLE.
  27. HOTEL SERVICES: Hotel services are offered and managed by partner agencies or directly by the hotel facilities. The terms and conditions of reimbursement are deferred to the commercial agreements established by the affiliated structures. The terms may change for each event date. The terms and conditions of reimbursement are available upon request of the customer, should he wish to view them before making any purchase. The participant, for all legal purposes and regulations, and in particular pursuant to art.13 of Legislative Decree 196/2003, declares to have read the preceding information, provided by DRUŠTVO PRVI KORAK, and to provide the own free, conscious, informed, specific and unconditional consent to the processing of data carried out and to the communication of the data itself to the categories of subjects indicated above. With the payment, the participant immediately accepts all the conditions and refund clauses without expecting anything after the purchase.
  28. REGISTRATION AND TICKETS: Online sales through promoters end 7 working days before the event. After this date, cancellations or other changes will no longer be possible. After this date there will be no exceptions as all registrations will be processing. The only way to obtain a season ticket or ticket after this date is to do so at the entrance to the event.
  29. PAYMENT OF THE PARTICIPATION TICKET: All online registrations must be paid by bank transfer or credit card to the organization or promoter within 3 days of registration. If the promoter does not confirm payment within 3 days, the registration will be canceled and, if necessary, the consecutive loss of the promotional price. You can make a new registration with a valid date according to the terms on the day of booking. In the case of payments by bank transfer, please note that the transfer takes at least 2/3 working days.
  30. UPGRADE / UPDATE OF THE PARTICIPATION TITLE: The update can be carried out up to a maximum of 7 working days before the date of the event by contacting the organizer and/or the promoter. Downgrading is not possible.
  31. REGISTRATION DESK: All PARTICIPATION TICKETS and/or IDENTIFICATION BRACELETS purchased must be collected at the event desk with a valid photo ID.
  32. BEHAVIOR AND SAFETY: All festival participants are expected to behave in such a way as not to jeopardize the health and safety of others and to adhere to the safety rules and regulations provided at all times by the organisation.
  33. REFUSAL AND REMOVAL OF PARTICIPANT: Anyone carrying prohibited items such as alcohol, drugs, firearms, weapons, explosives, other dangerous objects and clothing and any other object, thing or behavior that may damage the safety of themselves and other participants. Any person who acts in an offensive, aggressive and provocative manner will be asked to leave the premises of the event and handed over to the competent bodies.
  34. BUS: all extra services such as the shuttle or bus service are provided by an external partner. The participant immediately exonerates the organization for any damage suffered while using the service. Even in the case of cancellations, please refer to the supplier’s general cancellation conditions which vary from time to time. But which can be requested by the Participant when purchasing it.
